GUIDELINE: University of New South Wales

Specific requests for submission of proposals in partnership with researchers from The University of New South Wales

São Paulo Research Foundation (FAPESP) and the University of New South Wales (UNSW) signed a Cooperation Agreement for Research on February, 17 th, 2015, aiming to implement scientific and technological cooperation between researchers from the UNSW and a University from the State of Sao Paulo, Brazil, through the funding of joint research projects. Applicants are encouraged to submit funding applications for innovative and sustainable programs in the areas of science, engineering and technology built around collaborative research initiatives.

Under the referred Agreement, as a first action to promote such collaboration, FAPESP and UNSW make public this Call for Proposals for the exchange of faculty and postdoctoral researchers, under the terms and conditions of the SPRINT 2nd Edition 2015 (www.fapesp.br/en/9365) and hereinafter set forth.

1. Eligibility from UNSW

a. Applications are welcome once per year from academic and research staff at all levels at UNSW.

b. Chief Investigators (CI) on a project must hold a salaried appointment with UNSW and are only permitted to apply for one grant at any one time.

2. Fields of knowledge

This Call for Proposals invites research proposals in all fields of science, technology and engineering.

3. Duration of the project for the exchange of researchers

Grants should be spent within the period indicated in the project submission or, as a maximum, within 24 months of receipt of funding. Extensions at UNSW may be granted and must be requested in the first instance, in writing, to the Pro Vice-Chancellor (Research).

4. Funding principles

FAPESP will provide funding of up to the equivalent of AUD $10,000.00 (ten thousand Australian dollars) per proposal per year and UNSW will provide funding of up to AUD $10,000.00 (ten thousand Australian dollars) per proposal per year, for the duration of the grant to cover research-related mobility expenses, under the provisions of Clause 5 of the Scientific Cooperation Agreement established by the Parties (www.fapesp.br/9363).

4.1 Allocation of funding:

a. FAPESP will provide the selected proposals with funding for researchers from the State of Sao Paulo, Brazil visiting the UNSW at their Sydney or Canberra campus in Australia.

b. UNSW will provide the selected proposals with funding for researchers from the UNSW, Australia visiting the campus of Universities in the State of Sao Paulo in Brazil.

4.2 Activities eligible for funding:

a. Academic mobility between Sydney/Canberra and the State of Sao Paulo.

b. Travel expenses (e.g. economy class airfare, train, rental car, etc).

c. Partial costs for hosting a seminar/conference or workshop.

d. Accommodation.

e. Consumables, including technical equipment, and publication/printing costs.

4.3 The following restrictions apply on the use of funding listed in 4.2:

a. Airfares: only economy class tickets will be funded.

b. Accommodation: a maximum of two weeks at up to $250 per night.

c. Meals and incidentals: a maximum of $100 a day per person.

d. Consumables: costs not to exceed 10% of the total budget.

e. Conference/workshops: costs to hold a conferences or workshops shall not exceed 50% of the overall budget (excludes travel and accommodation of participants).

4.4 Applications that will not be considered for funding:

a. An individual staff member’s research projects, unless as catalytic funding for the establishment of an international research collaboration with the prospect of external funding;

b. Website development;

c. Salaries or salary supplementation or honorarium;

d. Scholarships for students;

e. Course fees for international students;

f. Entertainment costs;

g. Computers, including laptops & iPad (excluding access to high-performance computers or other specialized applications that are justified against the project) and basic computing facilities such as printers, word processing and other standard software).

4.5 Supplementary Funding

Project budgets may be supplemented by funding from other sources. This may be declared in the application and is encouraged in cases were the project costs would be expected to exceed those applied for under this scheme.

5. Timeline

Call announced on FAPESP and UNSW websites April 28, 2015

Closing date for submission of proposals July 27, 2015

Successful proposals notified October 23, 2015

6. Submission of proposals to FAPESP

All applications will be submitted to FAPESP following the SPRINT Call for Proposals 2nd Edition 2015 (www.fapesp.br/en/9365). Completed applications will include:

a. Research Project proposal

b. FAPESP Research Proposal form

c. Researcher Registration form

d. CV summaries of the CI’s

e. Budget Form

f. Worksheet

7. Submission of proposals to UNSW

Each applicant will simultaneously provide a copy of their submission to FAPESP including a completed application form and all of the required supporting documentation to research.partnerships@unsw.edu.au.

8. Outcomes

Final results will be announced on FAPESP (www.fapesp.br) and UNSW websites and by means of a communication to the CIs.

9. Contract for selected projects by UNSW

The Chief Investigator for selected proposals will be required to complete an Acceptance of Funding Form, which will be provided by the Grants Management Office.

9. Grant cancellation

9.1 If circumstances change and a CI leaves the project, the UNSW CI should contact the Research Partnerships Unit as soon as the change occurs. All changes will need to be approved and documented.

9.2 Grants which have not been spent by the due date will be transferred back to the Division of Research so that unspent balances can be re-allocated, unless otherwise previously approved in writing by the Pro Vice-Chancellor (Research).

10. Financial and Reporting Obligations

Recipients will be required to submit a final report within three months of completion of the project. A report pro-forma will be sent to successful applicants. The report should include an outline of the outcomes of the project, an indication of the project’s sustainability, a summary of lessons learned in undertaking the project and a detailed acquittal of funds as required by University policy. Applicants who fail to submit a final report by the 3-month deadline will not be permitted to submit future applications.
